Information We Collect

Account Information

When you create an account, we collect your name, email address, and user type (church or candidate). Churches provide additional information including church name, size, location, and denomination. Candidates provide profile information including role preferences, experience, location, and optional resume upload.

Profile & Application Data

Candidates who complete profiles or apply to jobs provide professional information including work history, ministry experience, theological background, and availability. This information is used to match candidates with relevant ministry opportunities.

Payment Information

Payment processing is handled by Stripe. We do not store credit card numbers. We receive transaction confirmation and customer identifiers from Stripe to fulfill services.

Usage Data

We collect analytics data about how you use the platform, including pages visited, features used, and interaction patterns. This helps us improve the service.

How We Use Your Information

  • Provide core platform services (job posting, candidate matching, application processing)
  • Generate candidate shortlists and match recommendations using structured evaluation tools
  • Process payments and fulfill purchased services
  • Send transactional emails (confirmations, notifications, status updates)
  • Communicate about your account or services
  • Improve platform features and user experience
  • Comply with legal obligations

Evaluation Tools

Staff The Mission uses structured evaluation tools to analyze candidate profiles against job requirements. These tools assess factors including:

  • Role fit (experience, qualifications)
  • Cultural alignment (ministry philosophy, church culture)
  • Theological compatibility
  • Location and compensation expectations
  • Career readiness and calling clarity

Smart Search shortlists are reviewed by our team before delivery. Evaluation scores are used internally for ranking and are not shared with candidates. Churches receive shortlists with contextual insights, not raw scores.

Information Sharing

With Churches (Controlled by Candidate)

Candidate profile information is shared with churches only when:

  • The candidate applies to a job posted by that church, or
  • The candidate is included in a paid shortlist for that church (Tier 2+), or
  • The candidate expresses interest in a specific job
Candidates can set visibility preferences (Open, Confidential, Application Only).

With Service Providers

We share data with third-party service providers who help us operate the platform:

  • Stripe (payment processing)
  • Resend (transactional email)
  • DigitalOcean / Supabase (hosting & database)
  • Anthropic (AI evaluation tools)
  • Sentry (error monitoring)
These providers are contractually bound to protect your data and use it only for providing services to us.

We Never Sell Your Data

Staff The Mission does not sell, rent, or trade your personal information to third parties for marketing purposes.

Data Retention

We retain your data as long as your account is active and for a reasonable period after account closure to comply with legal obligations (including California FEHA 4-year recordkeeping requirements for employment decisions).

Externally-sourced candidate records (aggregated from public job boards) with no engagement are automatically anonymized after 90 days.

Your Privacy Rights

Access & Correction

You can access and update your profile information at any time through your dashboard.

Data Deletion (CCPA/GDPR)

You have the right to request deletion of your personal data. We process deletion requests within 10 business days. Note: to comply with California FEHA recordkeeping requirements, employment-related records are anonymized (not fully deleted) and retained for the legally required period. Anonymized records cannot be linked back to you.

Opt-Out of Emails

You can opt out of non-essential emails at any time using the unsubscribe link in any email, or by updating your notification preferences in your dashboard. Transactional emails (payment confirmations, service updates) cannot be disabled while your account is active.

Data Security

We implement industry-standard security measures to protect your data:

  • HTTPS encryption for all data in transit
  • Secure database hosting with daily backups
  • Access controls and authentication protections
  • Regular security monitoring and updates

Children's Privacy

Staff The Mission is not intended for users under 18. We do not knowingly collect information from minors. If we become aware that we have collected data from a minor, we will delete it promptly.

California Privacy Rights (CCPA)

California residents have additional rights under the California Consumer Privacy Act:

  • Right to know what personal information we collect and how it's used
  • Right to request deletion of your personal information
  • Right to opt out of sale of personal information (we do not sell data)
  • Right to non-discrimination for exercising privacy rights

We may update this privacy policy from time to time. We will notify you of material changes by email or prominent notice on the platform. Your continued use of Staff The Mission after changes become effective constitutes acceptance of the updated policy.
